Introduction

This notice explains how KILO MOBILITY SYSTEM LIMITED (“Kilo”, “we”, “us”) processes personal data when you use the Kilo Ops companion app. Kilo Ops is a staff tool for receiving operational alerts (for example delivery, chat, billing, verification, and support attention). It is not a consumer rider or sender app.

This notice supplements our general Privacy Policy. Where this page and the general policy differ on Ops-specific processing, this page controls for Kilo Ops.

Who this applies to

Fleet Ops: Staff who pair a phone from a Kilo Business organization dashboard. Alerts relate to that fleet's operations.

Platform Ops: Kilo internal operators who pair from the Kilo Admin console. Alerts relate to platform monitoring (for example support attention, new accounts, and delivery health) and are separate from any single fleet pairing.

Information we collect

Pairing & device link: When you scan a pairing QR (or enter a pairing code) from Business or Admin, we associate your device with the staff account / organization that generated the code. We store a device label (for example a friendly name), link timestamps, and status (active / unlinked).

Push notification tokens: We collect and store push tokens from your device OS / push provider so we can deliver Ops alerts to that phone.

Device & app metadata: Operating system (iOS or Android), app version, and limited device identifiers needed for delivery reliability, compatibility, and troubleshooting.

Alert content: Push payloads and related server-side notification records may include operational summaries (for example delivery references, chat/support attention signals, verification or billing events). Content is scoped to the fleet or platform role of the paired account.

Camera (QR only): The camera is used only to scan the pairing QR from your dashboard. We do not use the camera for continuous recording or background capture.

What we do not collect via Ops: Kilo Ops is not designed as a continuous GPS tracking app for riders or packages. Location is not collected as a core Ops feature for companion alerting. If OS permission prompts appear for other platform capabilities, they are governed by the relevant product notice and device settings.

How we use this information

  • Deliver timely operational alerts to paired staff phones.
  • Authenticate and bind a device to the correct fleet or platform Ops scope.
  • Maintain device lists so administrators can unlink phones, rotate pairing, and send test notifications.
  • Diagnose delivery failures, abuse, and security issues related to Ops pairing and push delivery.
  • Improve reliability of the Ops companion experience.

Sharing

Within your organization: Fleet admins and authorized staff who manage Ops devices in Kilo Business can see paired device metadata for that fleet. Platform admins can see platform Ops device metadata.

Service providers: We use infrastructure and push providers (for example cloud hosting and mobile push services) to operate the app. They process data only to provide those services to us.

Legal: We may disclose information if required by law or to protect rights, safety, and the integrity of the platform, as described in our general Privacy Policy.

Retention & control

Unlink from dashboard: Clearing or uninstalling the app on the phone does not by itself stop pushes. An authorized admin should unlink the device in Business or Admin. After unlink, we stop sending Ops pushes to that device token for that link.

Retention: Device link and token records are kept while the pairing is active and for a limited period afterward for security, audit, and troubleshooting, then deleted or anonymized where practicable, subject to legal retention needs.

Account / data deletion: Broader account or personal data deletion requests follow our Delete My Data process and general Privacy Policy.

Security

Pairing codes expire, are single-use for linking, and should be treated as credentials. Only share QR codes with staff who should receive Ops alerts for that scope. Protect access to Business and Admin dashboards the same way you protect other staff tools.

Changes

We may update this notice from time to time. Material changes will be reflected by updating the “Last updated” date on this page. Continued use of Kilo Ops after an update means you acknowledge the revised notice.
